Goals

Did you meet your goals? Are you happy with how the project went?

Yes we were able to meet our goals and the event was a success as earlier planned we were able to provide childcare services to parents with young children who needed care services rendered to their children during the Wikimania conference, data packages and scholarships were disbursed to 30 Wikimania participants who won the Wikimedia Community User Group Uganda scholarship that enabled them attend to the different Wikimania sessions both on YouTube and Pheedloop, we were also able to meet the administrative or operational costs that were required to make the event a success, photography and videography were also met as different photos and videos at our in-person meetup were taken and uploaded on Wikimedia commons, we also had 38 participants on our in-person event as we were able to invite and celebrate with different Wikimedians who won individual Wikimania scholarship as well all donned in our Wikimania Swag T-shirts, photoshoots on our Wikimania Banner and provided transport refund to 28 participants and meals to all Wikimedians who were available at our in-person event.

30 community members received scholarships A call for community members to apply for scholarships was run between 23rd to 31st July 2022, a total of 126 members expressed and 30 members were picked while ensuring gender balance with a mix of old and new members to the user group. Each individual received 370,000 UGX to cater for their needs during the four days of Wikimania 2022. A transport refund of 65,000 UGX and meals totaling to 45,000 UGX per participant were extended to Scholarship winners.
In-person Event 1 In-person event conducted 1 In-person event was conducted on the 12th August 2022 where 28 of the 30 scholarship winners attended. We also invited the individual scholarship winners that took overall attendance to 38 participants. A short five minutes video was produced in time for its integration into the main online event and a longer one was also produced and shared with community members. Food and Transport allowances were catered for through the received funds.
Printed artwork, conference swag/merchandise for event participants 40 T-shirts and 1 Banner Branded Wikimania 2022 T-shirts were printed and distributed to all group scholarship winners and the individual scholarship winners that we managed to get hold of.

What worked well?

  • The Wikimedia community user group Uganda formed a local Core organizing team which coordinated wikimania 2022 effectively from, call for scholarship applications, review of the scholarship applications, final selection of recipients, planning for the in person event. Managing the scholarship funds and ensuring individual participant reports are submitted on time.
  • A manageable number of scholarship recipients (30) was selected which included newcomers to the Wikimedia Movement, gender equality during the selection process was emphasized and experienced members were also selected to be part in wikimania 2022.
  • Scholarship funds extended to the scholarship recipients enabled them to purchase data packages which aided them to effectively participate in the virtual wikimania 2022.
  • We held a pre wikimania online meeting to brief all wikimania scholarship recipients on what was expected of them during the wikimania conference and as a result all the participants were able to attend according to the guidelines agreed upon in the meeting.
  • The In-person event was a huge success, almost all participants attended the event, new members were welcomed, quiz and fun games were played at the event, amazing food, sharing of experiences took place, and a strategy discussion about the Wikimedia community user group Uganda was held. In addition, there was cake cutting to cap the meeting.
  • During the in person event, we recorded a video of our in person event and submitted it to the organizing team of wikimania 2022 and it was played during one of the sessions in wikimania.
  • Overall all the scholarship recipients attended wikimania sessions on all the conference days, their attendance was tracked by one of the members of the local COT.
  • The scholarship recipients kept in touch with the local COT through a WhatsApp group and were guided on how to submit their scholarship reports.
  • All scholarship recipients were able to submit scholarship reports after the wikimania conference.

What did not work so well?

  • We expected to get a T-shirt design from the Wikimania COT, However in the end we had to come up with our own design using the design templates that were shared on commons albeit late.
  • We had more applicants for the local Wikimania scholarship, however, due to budgetary constraints, only a small number of 30 participants were selected. In future, we hope funding for a larger participation will be secured.
  • The main virtual platform Pheedloop had challenges on the opening day which frustrated a number of attendees, we ended up relying on YouTube.
