Renewal process
The Renewal is a process to support those grantees, who wish to:
- Maintain the same annual work and same annual budget as the previous year.
- Introduce no changes at all compared to their previous application in Fluxx in programs and budgets.
- Go through a simpler evaluation process.
- Have inflation compensation: NOTE: the Regional Fund Committees will decide about inflation compensation for each renewal, based on IMF inflation rates and the regional budget available.
Fiscal Year 2024-25 is the first experimental iteration of this process.
We will evaluate the implementation of this renewal process at the end of Fiscal Year 2024-25, and revisit the maintenance of this option from Fiscal Year 2025-26 onward based on the uptake of it in the grantee community and application process efficiency.
Eligibility criteria
- Applicants must have at least 2 years of General Support Fund annual plan implemented, be in good standing, compliant regarding their affiliate reporting, and have at least one impact report already available to be assessed for a renewal.
- Applicants must have continuity: must not have substantial changes in overall programming directions, in leadership and governance, or be in a significant community conflict or crisis.
- Multi-year grants are not eligible for automatic multi-year renewals.
Renewal process

- Grantee partner announces the intention for a renewal.
- Program Officer approves or declines the request based on basic eligibility criteria above.
- Grantee submits renewal request on the Grantee Portal (Fluxx).
- Program Officer meets with the Regional Fund Committees. Regional Fund Committees approve the renewal applications and budgets including inflation requests.
- Renewal decisions are announced on the talk pages of the renewal proposals.
If your multi-year funding application was turned into an annual renewal
If your multi-year funding application was turned into an annual renewal based on the Regional Fund Committee decision in Fiscal Year 2023-24 (e.g. in Northern and Western Europe region):
- In Fiscal Year 2024-25, you will re-submit your original multi-year request from last year without any changes, and it will be evaluated as a multi-year funding request for Year 2 (and for Year 3 where applicable).
- For you, the renewal button will be automatically activated on the Grantee Portal (Fluxx), no need to announce the intention (see above).
- In light of the multi-year regional budget and based on Fiscal Year 2023-24 decision, the Regional Fund Committees will make a funding amount decision for Year 2 (and for Year 3 where applicable).
How to apply
- Read the eligibility criteria and announce your intention for a renewal to the Regional Program Officer. Your Program Officer may also contact you for your intention.
- After your request is confirmed, you will receive an automatic notification from the Grantee Portal (Fluxx) with further instructions.
- Open the Grantee Portal (Fluxx), log in, and navigate to the "Active Grants" section.
- Select your ongoing grant application and click "Apply For Renewal" on the top right corner of the application page.
- The renewal form will open with pre-filled responses from your active grant.
- You can edit the Applicant information section, grant title, proposed start and end dates.
- Other questions in the Main proposal, Metrics, and Budget sections are read-only. Renewal process requires that you don't introduce any changes to programs and budgets.
- You need to upload the same documents from the original application.
- Any additional information or documents can be added to Question 22. (Additional information).
- You can click "Save" or "Save and close" to save the renewal draft. The renewal request will be added to Requests > Renewal Requests section.
- Click "Submit Renewal" to submit the application.
