Checklist for organisers

  1. All notes documents to be made available for the participants to edit (share with anyone who has the link to edit)
  2. Login to the session 10 min prior to the event and will be the last ones to log out.
  3. Ask permission in every session to record (if necessary to record)
  4. Send reminders and collect necessary material to use during the event.
  5. Ensure each session to have a session moderator and a technical facilitator.
  6. Remind all speakers/presenters of the session 24 hours prior to the event and also 60 min prior to the scheduled start of the event.
  7. Clearly mandate a person (either from WMWM team or speaker's side to take notes and monitor chat).
  8. If providing interpretation finalise language channels 7 days in advance, check the interpretation 30 min in advance of the talk.

Checklist for moderators

  1. Moderators will login at least 10 minutes prior to a session.
  2. Introduce a presenter and the presentation.
  3. Sort questions on respective etherpad.
  4. Moderate questions-answers after the session.
  5. Ensure to end the session on time
  6. At least one organising member will be supporting.

Checklist for presenters

  1. Presentation should be handed over to the organising team minimum 8 hours before the scheduled talk.
  2. Login to the session 10 min prior to the session.
  3. All speakers/presenters should participate in an audio/video check 5 min before the talk/presentation begins.
  4. All participants and speakers should agree to the CoC policy of the event.

Checklist for participants

  1. All participants will mute their audio and close their video unless they are speaking/responding.
  2. If language interpretation is necessary requests should be made 10 days in advance
