Create a checklist for the event location to ensure it meets basic requirements. The space should have sufficient seating, a comfortable environment (including appropriate sound, temperature, and airflow) for the expected number of participants, and essential facilities like restrooms (stocked with sanitizers and masks). Ensure there’s nearby parking, ideally including bike parking. A stable internet connection is essential for participants to engage in virtual sessions. Review the Friendly Space policy, and take into account any accessibility needs attendees may have.

The event format is flexible, but it should include a program or schedule with activities that encourage engagement and interaction among attendees, both in-person and online. Focus on topics relevant to the larger LGBTQ+ community, such as LGBTQ+ history, culture, activism, or social issues, and their connections to Wikimedia.

Promote the event using various channels like social media, email lists, and LGBTQ+ organizations. Aim to reach a diverse range of participants who are supportive and respectful of the LGBTQ+ community.

Coordinate with us if you're hosting a node event. We encourage you to join the conference’s virtual rooms — even if for a brief time — to leverage additional learning and networking opportunities. Alternatively, encourage participants to register and attend online sessions from home on at least one of the conference days. If financial support is needed for internet access, try to offer assistance ahead of time.

Document your event: With participants' consent, capture photos, short videos, or audio recordings to share the experience with others. Consider preparing a 3–5 minute summary presentation about your local node and related LGBTQ+ Wikimedia work as part of the QW program, using Google Slides or PDF with a voiceover. Alternatively, you can record a video and send it to us for inclusion.

Get support from the Queering Wikipedia 2025 organizers. They are available via email before the event at QW2025(_AT_)WMLGBT.org. During the event, you can reach out on your Node’s designated Telegram channel for quicker assistance from the QW2025 production team.
