Budget change request due to COVID-19

[edit]

Hello DSaroyan (WMF) The IUP Research Institute would like to request a change in the budget line items for our Organizational Rapid Grant we received in February 2020.

Due to the COVID pandemic and the current recommendations of the CDC and the PA Dept. of Health, we would like to hold our event online. Since it will be online, we do not need the food supplies and printed materials we originally budgeted.

We would like to contract with a visiting speaker/co-facilitator for the online event for $1,100 and use the remaining $183.75 for digital advertising to attract participants.

Please let us know if you need any additional information to process this request.

Hello Matthewvetter, thanks for posting your request on the discussion page. There are only limited number of cases when we fund compansation for people's time in terms of the Rapid Grants. Unfortunetly, we cannot approve your request to contract a visiting speaker for this reason. I suggest repurposing these funds and spending it on other elegible expenses. The digital advertising expense is elegible in terms of the Rapid Grants but I'll approve it along with the other changes in your budget. Please let me know what you think and how you plan to reallocate the budget. Thank you, DSaroyan (WMF) (talk) 08:02, 18 August 2020 (UTC)Reply

Hello DSaroyan (WMF), and thank you so much for your prompt response to my question about the visiting speaker. In that case, I would like to replace the food budget with a digital advertising budget of $300.00. The rest of the funds can be returned to Wikimedia. Would something like that be appropriate? Thank you Matthewvetter (talk) 16:12, 20 August 2020 (UTC)Reply

Hello Matthewvetter, it is an eligible expense. I'm approving your request to reallocate US$300 to the digital promotion budget. Best regards, DSaroyan (WMF) (talk) 10:58, 21 August 2020 (UTC)Reply

Hello DSaroyan (WMF) I have recently updated the proposal to increase digital advertising budget to US$500.00 - which meets the minimum threshold budget for Rapid Grants. Thank you for your assistance. Matthewvetter (talk) 13:17, 25 August 2020 (UTC)Reply

Hello Matthewvetter, as communicated over email, I have approved this request as well. Thank you, DSaroyan (WMF) (talk) 13:31, 25 August 2020 (UTC)Reply

Excellent. Thank you DSaroyan (WMF)! Matthewvetter (talk) 20:14, 30 August 2020 (UTC)Reply

Hello morozok7 and Matthewvetter, thank you for submitting this grant proposal and for running Art and Feminism events at Indiana University of Pennsylvania. We have reviewed your proposal and have the following comments and questions.

  • I noted that you are planning to purchase merchandise from the Wikipedia Store. For the swag and prizes from the Wikipedia Store please use swag request instead. I kindly ask you to remove those expenses from your budget and make a swag request when your grant is approved.
  • It’s great to see that you will be assisting interested instructors to integrate the Wikipedia editing course into their curricula.
  • In the Activities section the number of planned events is two, while in the Impact section it is three. Would you please fix this discrepancy?
  • Would you please share the outcomes of your past event or provide a link with details?

Thank you again for your contributions to Wikimedia projects! Best regards, DSaroyan (WMF) (talk) 05:45, 7 February 2020 (UTC)Reply

Hello again, I just noticed that there is no discrepancy in the Activity section regarding the number of events. Please ignore my initial comment #3. Sorry for missing it. Cheers, DSaroyan (WMF) (talk) 16:20, 7 February 2020 (UTC)Reply

Response from Matthewvetter

[edit]
  • 1. The budget section is updated. I have also submitted a SWAG request to merchandise@ikimedia.edu. Thank you for helping with this.
  • 2. Thank you. We have found that this pre-curriculum/training is really the most essential aspect of a successful Edit-a-thon.
  • 3. The Activities section state that there will be two training workshops leading up to the Edit-a-thon. The Edit-a-thon is a separate activity, which is why there are three total.
  • 4. Please see the report from last year's event: Grants:Project/Rapid/Arts+FeminismEdit-a-thon2019/Report
