Comments to the application for Rapid Funds

[edit]

Olá @Rodrigo.Argenton,

Thank you for submitting your request for fast funding.

We appreciate your interest in contributing to the mission of the Wikimedia Movement. We are continually strengthening our grant review process, ensuring that grant funding is invested in impactful projects and efforts aimed at contributing to the Wikimedia Movement's mission in the most efficient and effective manner.

We would like to acknowledge your yearly participation in the WLE global campaign that focuses onBrazil.

We have reviewed your proposal and have the following initial feedback, for which we would appreciate a response:

Plan and impact

  • Describe the roles of the core team, distinguishing between volunteers and paid members. Clarify the functions of each team member.
  • Provide a brief description of the photographic expedition that you are planning, including the location and participants, as well as your motivation for choosing the chosen destination.
  • Provide more detailed information on the number of new editors and participants compared to the total. Additionally, describe how the expedition will help new participants learn new skills and engage with the Wikimedia movement.
  • Provide greater detail about the planned activities of the photographic expedition. Please specify how these activities will contribute to developing new skills and engagement in the Wikimedia movement.
  • Clarify if the project focuses on photos that contributors will send via social networks, photos of volunteers, of the photo expedition, or all of them. Please provide metrics of the photo expedition, such as new participants or new images.
  • What is the plan for sharing the images collected through expeditions or social media to support biodiversity conservation efforts?

Budget:

  • Please review the budget to provide a more detailed breakdown of "Other/Photo Expedition" is requested in order to have a clear understanding of the costs of the photo expedition budgeted.
  • Also, please make sure you address the following questions.:
    • Will the social media budget be allocated to a member of the team or an external professional? Will this amount cover the costs of producing tutorials and answering questions from the public? It would be interesting to link metrics to this Communication niche, as they indicate that it is an important axis for the development of the action.
    • About of a ticket for "flight ticket for the winner to the conversation unit". Please clarify if the winner of the contest will participate in the photo expedition. Also, can you provide information about the other people joining the expedition?

Additionally, we make the following recommendations for your consideration:

  • Have you contacted the global organizers of Wiki Loves Earth to see if they have any existing materials such as tutorials to help with entering images into Wikimedia Commons for the campaign? If you find that there is a need to create content specific to your situation, please share a plan on how you will involve other communities in the English/Lusophone Wikimedia community to ensure that they also benefit from the tutorials.

If you have not done so, please a) change the grant start date needs to be changed to 26 May 2024 or later; and b)  have applied as a group but do not meet our requirement for a group. You will need a cosignatory, and they will need to share a bank account with you. If you are unable to create a joint account with someone willing to be cosignatory, please change your application type to Individual so we may continue reviewing your proposal.

We appreciate your response on this proposal Meta Wiki discussion page:Please respond to this feedback on the proposal Meta Wiki discussion page by May 8, 2024, so that we can continue the review process.

Mercedes, did you see the tabs Advertising campaign and Photo expedition of the sheet?
Description Number of units Unitary Estimated Cost (USD) Expense total (USD)
Freelance graphic designer (contest visuals, social media templates) 1 400 400
Volunteer graphic designer (creation of daily posts: 30 during campaign + 15 pre + 15 post) 60 0 0
Freelance video editor (for high-quality video tutorial) 1 300 300
Freelance video editor (for high-quality video promotional) 1 300 300
Boosts on social media 1 300 300
Unexpected costs (especially prize variations) 1 200 200
Total 1500
And most of the things that you requested, I didn't include as Fluxx is limited. How do we include the metrics of the photo expedition in Fluxx? Rodrigo Tetsuo Argenton m 01:31, 6 May 2024 (UTC)Reply
Well, I did what I did before and created several subpages on Meta; most of your answers are here:
Grants:Programs/Wikimedia Community Fund/Rapid Fund/WLE Brazil 2024 (ID: 22592880)/7
  • Apply as a group:
I was trying to create a shared account in Brazil during the evaluation, so I applied as a group.
However, I give up on this idea, as Latin America will only keep the exclusive club, and Wikimedia Foundation money will be exclusively given to North's new projects (656 mi vs 579 mi people; a lot of holes in knowledge and a lot of projects vs not much holes and none projects.. to keep Wikimedia Canada +70 mil CAD per year salaries with no projects, e.g.).
Hence, the effort to create an account with the necessary specificities is not worth my time. I applied as an individual and warned my team about the decision to favour the Global North.
  • Regarding the date:
As we have to start before the money comes, we have chosen to show that we have already begun to work. This new Wikimedia schedule makes it harder to participate in activities that involve an international calendar.
I have changed already, but if this is an obligation, not a recommendation, as the text says, it should be in the system.
  • "Have you contacted the global organizers of Wiki Loves Earth to see if they have any existing materials, such as tutorials to help with entering images into Wikimedia Commons for the campaign?"
Of course...
  • "If you find that there is a need to create content specific to your situation, please share a plan on how you will involve other communities in the English/Lusophone Wikimedia community to ensure that they also benefit from the tutorials."
We will share this at Outreach, but this has a logical problem.
"specific to your situation" vs [whole] "English/Lusophone Wikimedia community"
But we will share; this is part of our core. I included it in the proposal.
  • "What is the plan for sharing the images collected through expeditions or social media to support biodiversity conservation efforts?"
For now, Commons, Wikidata, Wikipedia and some social media posts; later, we will talk with other agents and decide collectively, the local researcher and the administration of the part;...; for now, we will make what are exclusively under our umbrella. We have a lot of half-frustrated collaborators, so I can not push further. (I never promised anything, but they are seeing the gaps.)
  • "Describe the roles of the core team, distinguishing between volunteers and paid members. Clarify the functions of each team member."
We are all volunteers, as... well... we do not have paid people; we will prioritize freelancers inside our community who will do more complex work, such as video editing or graphic design. As the sheets already covered, but I typed it down.
  • "Provide more detailed information on the number of new editors and participants compared to the total.[...]"
I am confused. Is this about the expedition? There are no new editors; all photographers are collaborators of foto.wiki.br and the winner of WLE BR 2024. This is a very specialised activity; we will not make an open call, as we already have 40 specialists and must select 2.
  • "Clarify if the project focuses on photos that contributors will send via social networks, photos of volunteers, of the photo expedition, or all of them. Please provide metrics of the photo expedition, such as new participants or new images."
This is so confusing; do we have activities where the participants only contribute via social media? Can you please rephrase?
  • What is the plan for sharing the images collected through expeditions or social media to support biodiversity conservation efforts?
I had to work around Fluxx again, but I think I covered everything; let me know if there is something that I forgot to mention.

Dear @R.T.Argenton
Congratulations! The proposal has been approved for 23,000 BRL. Thank you for your efforts in preparing it and answering the questions. You have received an email notification with the steps you need to follow to proceed with the funding process.
Based on your previous grant experience, which emphasized the significance of adaptability and flexibility, we suggest developing a risk assessment to anticipate unforeseen changes.
If you require additional clarification or wish to discuss any further questions, please let me know so we can schedule a meeting.

@MCasoValdes (WMF):
Thank you for the approval.
I’ve already reviewed the email notification, and now I am waiting for the DocuSign.
I also completed the risk assessment, as requested. While I understand the importance of anticipating challenges, I am confident that the current plan is robust enough to handle unforeseen changes.
I want to mention that completing the assessment took approximately 20 hours of work, drawing upon my skills as an industrial engineer and project coordinator. While I completed it successfully, I want to emphasize that this level of expertise is not always readily available within teams. It might be helpful to consider incorporating a dedicated budget for future assessments, as it is highly technical request.
I look forward to a successful project outcome. Please let me know if you have further questions or require additional information.
