Hi अनिरुद्ध!,Thank you for your efforts and motivation in engaging with this reviewing process. And thank you for this well written proposal. I reviewed your grant request and have some follow up questions.

First - How flexible are you with the proposed event dates? We have another potential event happening on the same dates, and in case both will get approved, we wouldn't want to overlap.

The total cost of the grant request should not deduct the underspend from other conferences. Please amend the total amount requested to $14,260 as you indicated on the budget table. If necessary, the internal financial accounting will be managed by our Finance and Admin team upon approval. Please also amend the 'Additional sources of revenue' section accordingly.

Community input:

  • How will you address the gender gap while choosing scholarship recipients? Do you have any plan on how to actively target female participants?
  • What kind of training sessions for female editors are you planing? Is it Wikipedia editing workshops? Do you currently have any female focused projects?
  • Can you please clarify what do you mean by 'link all Hindi Wikimedia projects with education and learning'?
  • Do you currently have any ongoing partnerships with non Wikimedia institutes?
  • It seems like the major impact you are looking for will be around building capacity to revive inactive Hindi wiki projects. With that in mind, what will success look like? What will indicate that you met your goals? Can you please share some metrics?

Follow up will be definitely be one of our focus areas if this proposal will be approved. So forming a 'Follow-up Committee' as you suggested, is a great place to start from.

Context:

  • Can you please share some more details about the recent growth you are describing among Hindi Wikisource projects since the last conference?

Participation:

  • Do you have any plan or strategy on how to welcome and engage with newcomers to the conference?

Resources and risks:

  • As you pointed out the challenges the previous team had due to the grant approval timeline, it is important for me to note that as published, the Grantees announcement will not take place before October 29. If approved, it might take up to 30 days after the grant agreement is signed, for the grant funds to be transferred. To avoid any delays with pending payments, please take this into consideration and in needed, please re-evaluate the risks and time needed to properly manage all logistics and financial and liability. We cannot commit to any 'emergency process' as you suggested.

Participation and Scholarships:

  • By 'outreach component' we mean to ask if you will partner with Institutes or reach out to participants outside of the Wikimedia movement?
  • Will the other 26 participants be local? Or self funded?

Risks:

  • What kind of skills or capacities are you missing among the current volunteers team?

Budget:

  • As mentioned before, you would need to deduct the underspend from previous conference. This should not be included as a source of revenue. If this proposal to be approved, we will coordinate the redistribution of funds accordingly.
  • You mentioned 3 pre-conference meetups. Please detail. When and where are those expected, what are you planing, what will be the impact you hope to achieve, and what would be the metrics? Please clarify the same as for the post conference monthly review meetups you mentioned.

Hi CAlmog (WMF),Thanks for your comments and motivational words. Please go through response of your follow up questions.

First - How flexible are you with the proposed event dates? We have another potential event happening on the same dates, and in case both will get approved, we wouldn't want to overlap.
  • Response – If needed We can just change the proposed event dates to next weak. After that we don’t have time because of state election and examinations. We can’t do it prior dates because of all India arts festival will held in Delhi just before it and there might be trouble to get accommodation. We have selected dates very cautiously.

  • Response – We will give at least 30% of scholarship of new participant to female editor. We Will also allot more than 50% local participation to female participants. We have some experience female editor in our organizing team who will specially take care of female participant’s need. We will have women participation session also in conference schedule.
What kind of training sessions for female editors Is it Wikipedia editing workshops? Do you currently have any female focused projects?
  • Response – Yes We are planning for female centric Workshop Where participant and trainer both will be female. We Will do it not only for Wikipedia but also for Wikisource, wikibooks etc. At present We don’t have any formal female centric running project but We have done it in past and at present Hindi wikimedian user group have arranged several informall meetups for female participents.
Can you please clarify what do you mean by 'link all Hindi Wikimedia projects with education and learning'?
  • Response – We have strong believe that educational institutions and Wikipedia projects can do better together. Wiki books, Wikisource, wictionary, wikiversity etc. all project has potential to be essential part of curriculum. We are planning all event with this understanding.

Do you currently have any ongoing partnerships with non Wikimedia institutes?

  • Response – no. not yet But we are planning to collaborate with some reputed college and university.

Can you please share some more details about the recent growth you are describing among Hindi Wikisource projects since the last conference?

  • Response – The recent growth of Hindi Wikisource projects since the last conference is multidimensional and can be observed under following points-
  1. more than 28,000 new pages of book images is created and ocr completed.
  2. Hindi Wikisource project is approved by language committee in second month after conference.
  3. Hindi Wikisource became largest project in multilingual Wikisource.org with more than 15,000 pages after 3 month of conference.
  4. Hindi Wikisource got independent project web address after 6 month of conference.
  5. We have transcluded first 7 book in 7 month after conference.
  6. We have done more than 1,000 pages proofing completion within 6 month of conference.
  7. We have more than 30% of active female contributor.
Do you have any plan or strategy on how to welcome and engage with newcomers to the conference?
  • Response – yes. We are planning according to this. May be we have separate 2 hour session for newcomers.
By 'outreach component' we mean to ask if you will partner with Institutes or reach out to participants outside of the Wikimedia movement?
  • Response – we will partner with Institutes favorably with library or museums.
Will the other 26 participants be local? Or self funded?
  • Response – we are giving 24 scholarships. Other 16 participants will be local. Number of total participant will be 40
What kind of skills or capacities are you missing among the current volunteers team?
  • Response – most of them have skills but not have experience of organizing such kind of big event. Only 30% volunteers has experience of last conference.
You mentioned 3 pre-conference meetups. Please detail. When and where are those expected, what are you planning, what will be the impact you hope to achieve, and what would be the metrics? Please clarify the same as for the post conference monthly review meetups you mentioned.
  • Response – 3 pre-conference meetups are planned for creating awareness, increasing activities, narrowing gender gap and bringing most out of conference. These workshops will held in three different cities- Kolkata in West Bengal, Jamashedpur in Jharkhand and in new Delhi in month of December-january. We will make new editor, train them to edit wiki projects and aware them of coming conference and way to participation. We will try for following achievement-
  1. add 100 new user to wiki projects.
  2. inhanse skill of 100 old editor of wiki projects.
  3. get 2 mail and 4 female new participants from these workshop's top editors to main conference.
  4. in this process number of improved wiki pages will be =1000
  5. in this process number of female contributors will improve to 50.
We have plan for 3 monthly follow-up meeting of organizers in March, April and May new Delhi. We will try to achieve following-
  1. preparation of goal achievement report of each month.
  2. discuss achievement of month and hurdal in goals achievements.
  3. required steps for achieving goals for next month.
  4. preparation of conference final report.

I appreciate the work you have done in defining the goals and desired outcomes for the conference and it's side events as well. I also liked the well designed evaluation plan.
