Part 1 Understanding your work
[edit]1. Briefly describe how your proposed activities and strategies were implemented.
From July 2023 to June 2024, WMID conducted activities focusing on capacity building, advocacy, and community empowerment.
From July 2023 to June 2024, WMID undertook a comprehensive range of activities focused on capacity building, outreach, advocacy, and community empowerment. These initiatives were supported by dedicated teams specialising in education, GLAM, Wikidata, and community engagement. To inform our strategic direction, we researched to assess the perceptions and needs of various stakeholder groups.
The Education team is dedicated to increasing Wikipedia’s user and contributor base. Our outreach strategy encompasses online, offline, and hybrid engagement methods. However, evaluations indicate that in-person activities are most effective for cultivating partnerships. To this end, the team collaborated with GLAM+Wikidata team to establish “Pekan Wikimedia”, a platform designed to introduce academic institutions to Wikimedia projects and the pedagogical applications of GLAM+Wikidata. This year, successful in-person events were held at Airlangga University and Tanjungpura University.
The Education team has also delivered 54 training sessions, including online courses, reaching a diverse audience. Volunteer and community support were essential to success. Partnerships enhanced content on Memory of the World, women’s health, and biodiversity. Direct engagement with teachers and students was also prioritised.
The Wikidata team executed four primary activity types—workshops, meetups, datathons, and contests—throughout the grant period. Workshops targeted computer science academics and the general public, serving as an entry point for new members into the Wikidata Indonesia Community. Participants expressing interest and commitment were invited to join Wikidata meetups, fostering increased contributions and community networking opportunities.
To foster increased community involvement, the team organised datathons and visualisation contests. Datathons centred on collaborative Wikidata curation, ensuring data accuracy through rigorous verification processes. The visualisation contest challenged participants to produce compelling visual representations of complex Wikidata information, requiring in-depth analysis of identified issues and proposed solutions.
On the other hand, the Community team introduced a standardised timeline to facilitate community activity planning. Regular office hours have been established to provide comprehensive overviews of our Community and Education programs. These sessions offered opportunities for community members to seek clarification, provide feedback, and contribute suggestions.
Our Research team conducted two studies. The first study aimed to identify the needs of the Wikimedia community, and the second focused on gathering the perspectives of Wikimedia Indonesia members through Focus Group Discussions. Both activities were carried out smoothly. We used an in-depth interview approach for the first research to gain deeper information. In the second research, we selected Wikimedia Indonesia members based in the Jabodetabek and Bandung areas. This selection allowed us to bring them to the Wikimedia Indonesia office, thereby reducing costs while obtaining qualified informants.
The GLAM team also devoted their time to promoting the adoption of Creative Commons open licenses within the cultural heritage sector. Additionally, we have focused on fostering collaborations with GLAM institutions to enhance the accessibility of digital collections through Wikimedia Commons.
2. Were there any strategies or approaches that you felt were effective in achieving your goals?
The Education team adopted a dual-pronged strategy: leveraging Wikipedia for pedagogical enhancement and direct content contribution. This approach facilitated targeted participant identification and activity alignment. For instance, teachers initially focused on integrating Wikipedia into their curricula before engaging in content creation. The team expanded partnerships with educational institutions, including teacher networks, student organisations, and universities, to cultivate shared objectives. A collaborative effort resulted in the establishment of a dynamic WikiClub. To foster community autonomy and initiative, the team empowered groups to independently design and implement some meetups and Wikipedia training activities across online, offline, and hybrid platforms.
The Community team’s primary function was to foster community development. To this end, we established comprehensive guidelines to equip community members with the necessary tools for success. While providing strategic guidance and support in program planning and execution, we prioritised the team’s autonomy in program conceptualisation. Regular office hours were conducted to facilitate knowledge transfer, particularly in technical areas.
An exciting evaluation by the Wikidata team is that they identified academic and computer science communities, including universities, research institutions, and data-centric NGOs, as optimal target audiences for introducing Wikidata. While possessing foundational solid knowledge in semantic web and computational domains, these individuals often exhibited limited familiarity with Wikidata. Comparative analysis revealed that academic and computer science communities demonstrated superior adaptability to Wikidata, effectively identifying suitable applications and contributing data with enhanced accuracy relative to other demographic groups.
3. Would you say that your project had any innovations? Are there things that you did very differently than you have seen them done by others?
The popularity of online courses in Indonesia has grown significantly. The Education team has implemented several enhancements to maintain participant engagement. This includes reducing video durations to 2-6 minutes and improving platform compatibility for seamless mobile and computer access. Additionally, they have streamlined the assignment review process for teachers. Collaborating with goKampus, the team now offers free, flexible online courses. It has plans to extend this initiative to other Wikimedia projects.
The Wikidata team has impressively partnered with various organisations to educate individuals on the utility of Wikidata. Through presentations at prominent Indonesian universities, they captured the interest of over 300 individuals. This collaborative approach has not only delivered their message effectively but also fostered a better understanding of Wikidata among university students and staff. We are proud of the impact these partnerships have made.
On the other hand, the community team organised a monthly event known as "Bincang Komunitas," focusing on diverse topics and providing valuable skills training, such as social media utilisation and resource management. They have integrated a comprehensive training program into a broader conference to reach a wider audience, offering a variety of activities, including photo walks, workshops, and edit-a-thons. Collaborating with the Bogor Historical Walk has added an intriguing dimension to the photo walks, which now cover various topics.
The Research team has diligently assessed the progress of these initiatives and consistently emphasises the importance of innovation and creativity. Their commitment to generating new ideas to drive continued progress, by leveraging community data and gathering feedback, is a source of confidence and reassurance for all stakeholders.
4. Please describe how different communities participated and/or were informed about your work.
We utilised social media and WhatsApp to keep our audience informed and engaged with participants and communities. We held coordination sessions to support community-organised WikiLatih events. We conducted online sessions to explore contributions to Wikiquote and The Wikipedia Library. We collaborated with local Wikimedia communities in Indonesia to organise Wikidata meetups and workshops.
Additionally, the community contributed to our research by participating in interviews. Interviewees were chosen based on criteria established by the research team.

We prioritised boosting involvement from marginalized communities by working with organizations that focus on issues such as women's inclusivity and offering them workshops. These efforts resulted in an increase in female participants and the creation of new articles dedicated to women.
Part 2: Your main learning
[edit]8. In your application, you outlined your learning priorities. What did you learn about these areas during this period?
Wikimedia Indonesia has made significant progress with its strategic initiatives during the 2023–2024 fiscal year. Our partnerships with external stakeholders have been crucial in furthering our organisational objectives. Despite facing challenges with bureaucratic procedures, our proactive communication and relationship-building approach has not only dealt with potential setbacks but has also instilled confidence in our stakeholders about the security of our operations and the continuity of our collaboration.
A crucial part of our strategy has been to create a solid and supportive environment for Wikimedia communities across Indonesia. We have provided tailored support to meet the specific needs of both established and emerging communities, including moral support, technical capacity building, and administrative assistance, empowering communities to drive their initiatives independently.
We are confident in providing a wide range of training sessions to enhance skills relevant to Wikimedia projects. These sessions, led by volunteers, have positively impacted by equipping the general public and specific interest groups with the knowledge to share information effectively across online platforms. Additionally, our successful execution of Work Program 3 focused on understanding the needs and perceptions of diverse groups regarding Wikimedia and its projects. A research report, currently undergoing finalisation by our research team, will be released for public review soon.
9. Did anything unexpected or surprising happen when implementing your activities?
The Wikidata team discovered that after attending a general lecture and a Wikidata workshop, some participants became active volunteers, joining meetups and competitions. One volunteer secured the first position in a datathon held a few weeks after joining.
A significant lesson came from the Education team during Wiki Women’s Month, which had a different theme focusing on women’s health, particularly sexual and reproductive health. This theme was aligned with WikiProject Women’s Health. To address the sensitivity of this topic, we collaborated with the UNFPA Indonesia to conduct training sessions and provide reliable resources. We also organised an offline gathering called Bincang Perempuan with the Faculty of Medical and Health Sciences of Udayana University to encourage public participation in sharing SRH information in the digital space.
Regarding community participation, we observed a declining enthusiasm among community members to take on event organising roles. Our research also revealed that some community members needed to know the guidelines and resources for organising WikiLatih and meetups.
The Community team discovered a significant increase in rapid grant applications after hosting an office hour about grants. Our communities are excited to develop their programs, which may require additional funding beyond what our mini-grants (Dana Wiki) can provide.
10. How do you hope to use this learning? For instance, do you have any new priorities, ideas for activities, or goals for the future?
Our dedication to advancing work programs and extending current programs until 2027 remains unwavering. We maintain adaptability in modifying our strategies and approaches in response to industry fluctuations, ensuring achieving the objectives delineated in our strategic plan.
Furthermore, we consistently evaluate the efficacy of our initiatives to ensure their pertinence and innovativeness in addressing the dynamic needs of the community and the public. For instance, upon identifying a deficiency in digital literacy education for educators, we effectively met this necessity through collaboration with a teachers' organisation.
11. If you were sitting with a friend to tell them one thing about your work during this fund, what would it be (think of inspiring or fascinating moments, tough challenges, interesting anecdotes, or anything that feels important to you)?
Our organisation has achieved significant progress. Specifically, we have empowered 16 Wikimedia communities in Indonesia, a pioneering achievement in the ESEAP region. Additionally, our ongoing advocacy efforts focus on promoting open licensing and copyright through collaborative partnerships with cultural heritage institutions and government bodies.
Our Communications team possesses a keen ability to identify and create social media content that drives high engagement. Our expertise lies in developing informative content. To learn more about our approach, please do not hesitate to contact us.

In addition, we also actively participate in activities organised by the Wikimedia Foundation and other Wikimedia affiliates to foster knowledge exchange and strengthen our connection to the movement.
