The main objective of this conference is to bring together experienced Wikimedians living in Venezuela, new Wikimedians living in Venezuela, Venezuelan Wikimedians living in other countries, and Wikimedians from other countries with extensive experience in Wikimedia projects. It is also expected to invite strategic partners and speakers.

13. What are the main objectives of the event?

The experiences gathered from Wikimania Venezuela 2021 and DataUp Mucuchies 2023 highlighted the importance of further strengthening the Wikimania community in Venezuela.

By engaging in activities that raise awareness, we can encourage more individuals to participate in voluntary initiatives and contribute to Wikimedia projects. Enhancing this structure is essential to foster coordination and support within an open community, which will, in turn, attract more people from across the country to engage in the promotion of free knowledge in Venezuela.

This conference presents a valuable opportunity for newcomers interested in championing free knowledge to explore how Wikimedia projects can serve as an effective platform. Additionally, it will provide a space for those already involved in related initiatives to discover ways they can contribute and connect with an established network of experienced Wikimedians in the country.

14. Based on survey responses, what are the most important things your community should do at the conference to achieve these objectives?

Responses indicate strong interest in Web3 and AI as key assets for the Wikimedia movement, aligning with last year’s Wikimedia Foundation discussions on their decade-long global impact. We aim to broaden contributions beyond Wikipedia, fostering a decentralized approach that empowers our community to engage with topics they care about.

A significant portion of past participants are aged 18 to 35, offering an opportunity to blend experienced insights with fresh enthusiasm. We should enhance strategic partnerships to boost Wikimedia's visibility and promote free knowledge in Venezuela, inviting interested individuals to our mission.

We plan to conduct strategic discussions, think tanks, and collaborative design sessions with experts in Wikimedia, free knowledge, AI, and Web3. These interactions will generate ideas aligned with our goals and engage the Venezuelan community in collaborative discussions and decision-making.

We appreciate the active involvement of the Wikimedia community in various regions of Venezuela, and we would like to invite participants from other states to join us in a discussion about how we can collaboratively use Wikimedia projects to help preserve the collective knowledge of our country and its diverse cultures.

We look forward to welcoming a small number of participants who may be interested in exploring volunteer opportunities with Wikimedia, as well as representatives from organizations that are interested in integrating Wikimedia projects into their programs.

19. What will you do to make sure participants continue to engage in your activities after the event?

We kindly request that meetings be scheduled on a monthly basis following the event to discuss and further contribute to Wikimedia projects.

For organizations, we plan to establish projects and programs after the event, which will need to be implemented at least one month thereafter.

23. How many scholarships would you like to offer?

There are a total of around fifty scholarships available for award, which are divided into two categories: 10 international scholarships and 40 national scholarships.

24. What expenses will the scholarship cover?

All scholarships will cover the logistics costs of each participant (transport, accommodation, food).

25. How will scholarship recipients be selected?

International scholarships will be offered to volunteers from Wikimedia projects who possess extensive experience and a notable impact, with the hope that they can contribute to and support fellow conference participants.

National scholarships will be considered for individuals who have significantly contributed to Wikimedia projects and, for new volunteers, those who have engaged in the workshops and training sessions leading up to the selection of scholarship recipients.

26. In which ways can Wikimedia Foundation staff support your event onsite?

We would greatly appreciate the Foundation's support in matters of trust and safety, as well as in communications.

26.2. Do you intend to invite any WMF staff members to your event? (please note that all WMF staff travel and accommodation costs will be covered by the foundation). Please indicate what is the limit number of WMF staff members you would like to welcome at your event.

We would be grateful if at least five staff members from different departments of the Wikimedia Foundation—such as community resources, communications, trust and safety, public policy, and product and technology—could join us at the conference.

27. Please outline the roles and responsibilities of the organizing team for the conference.
  • Core Organizing Team - Responsible for the development of the draft event proposal and the submission of grant requests. Address and resolve any issues or concerns that may arise during the conference and its planning phase. Monitor and assess the progress and output of the various organizational teams (logistics/local, program, scholarship, and communication) and provide support in decision-making processes. Design and coordinate social events.
  • Logistics Team: Plan and coordinate all logistical aspects, including venues, transportation, accommodations, etc. Develop and manage the budget in collaboration with the COT. Arrange for technical support, audio/visual resources, and equipment for participants and presentations.
  • Program Team: Design, develop, and select conference programs based on submissions and recommendations. Establish the proposal submission process and provide guidance to applicants on how to successfully submit their programs.
  • Scholarships Team: This team will be responsible for creating the application process template and establishing criteria for evaluating applications. They will also assist applicants by promoting scholarship opportunities through various channels and collaborating with Wikimedia communities, groups, and organizations. The selection of applicants will be managed by the Scholarships Team.
  • Communications Team: Design, develop, and implement a comprehensive communication plan to promote the conference. Create and disseminate announcements and blog posts on Diff in coordination with other teams. Ensure the smooth execution of the conference by facilitating collaboration among teams.

In the spirit of collaboration and support between our communities, Wikimedia Venezuela and Wikimedia Small Projects will work together closely to carry out this conference.

29. What kind of risks do you anticipate and how would you mitigate these?
  • Overwork: To ensure a balanced workload, we recognize that overwork can be a significant concern. To address this, we will strive to manage and delegate tasks efficiently. Additionally, each team will have the support of staff specifically hired for the event.
  • Unavailability venue/hotel: We have identified several venue options at comparable price points, which helps to mitigate the risk of unavailability and ensures that our budget remains unaffected.
  • Challenges to evaluate the process and the outcome: We kindly request that the WMF Learning & Evaluation Team assist us in developing a measurement and evaluation plan to effectively capture the necessary metrics.
  • We understand that participants who do not speak Spanish may find it challenging to follow along. To ensure everyone can engage fully, we will provide simultaneous interpretation from Spanish to English.
  • Political stability. In light of the recent presidential elections, we recognize there may be some uncertainty regarding the country's political landscape. We are optimistic that by the time the conference occurs, this risk will be minimal. Nevertheless, we will continue to monitor the situation closely and will look to the Wikimedia Foundation for guidance should any developments arise.
  • We acknowledge that there may be potential health risks for participants. To mitigate these risks, we are committed to maintaining open and ongoing communication between participants and service providers. This will help us ensure that we can effectively manage any concerns that may arise and have all necessary medical support readily available to address them.
