ESEAP Strategy Summit 2025/Scholarships

All attendees to the ESEAP Strategy Summit 2025 will have their basic expenses covered by the Wikimedia Foundation. As this event is a summit, no self-funded attendees will be allowed and all attendees will be invited by the Summit Core Organizing Team. The event scholarship supports the following expenses:

  • Visa applications
  • Flights
  • Accommodation
  • Meals during the sessions
  • Limited health insurance

Process

Attendees to the Summit will be selected via three avenues: (1) through self-nomination, (2) through affiliate nomination, and (3) by invitation. The last group will be for members of the ESEAP Preparatory Council, the Summit Core Organizing Team, staff of the Wikimedia Foundation, and other subject-matter experts. The final decision for who is accepted for scholarship will be the responsibility of the Summit Core Organizing Team and the Wikimedia Foundation. For the first two avenues, the deadline for submitting scholarship nominations is February 9, Sunday, AoE (Anywhere on Earth).

Criteria

The Summit will primarily focus on advancing the ESEAP Hub and the Movement Strategy. To ensure meaningful participation, all attendees are expected to have:

  • A good understanding of the ESEAP Hub, including its mission and vision
  • Familiarity with Wikimedia projects and the broader Wikimedia movement
  • Knowledge of the role of volunteers and organizations—including affiliates—in contributing to the wiki projects and initiating outreach activities
  • A working or conversational level of English

Self-nomination

Wikimedians who are a citizen of or a resident of a country or territory within the ESEAP region can apply to attend the Summit.

Affiliate nomination

Recognized affiliates of the ESEAP Hub will be invited by the Summit Core Organizing Team to nominate up to three representatives to attend the summit. Due to the limited slots, it may not be possible to accommodate all nominees from all affiliates.

Timeline

  • 9 January: Opening of scholarship application form for self-nomination
  • 9 February: Deadline of scholarship application for both self-nomination and affiliate nomination
  • 7 March: Self-nomination applicants and affiliates will be notified of the result of their nomination with instruction for next steps

How many scholarships will be offered?

There will be a total of 60 scholars shared between the self-nominees and affiliate nominees. The exact number between the two groups is not fixed and the Core Organizing Team will select the scholars based on various factors, including diversity and contribution potential.

I am a member of an affiliate. Can I self nominate?

Yes!

I am a citizen of a country which as a national chapter or user group. Can I self nominate?

Yes!

Is the scholarship only open to the staff or members of affiliates?

No. Any Wikimedian who is a citizen of or a resident in an ESEAP country or territory can apply for a scholarship.

For the affiliate nominees, do these nominees have to be a staff or board member?

Any member or staff of the affiliate can be nominated, as long as your affiliate feels that the nominee will best represent the interests of the affiliate at the Summit and that they can contribute a lot to the ongoing discussions around the Hub and Movement Strategy.

I am a citizen or a resident in a country where Wikipedia is blocked. Can I still apply?

As long as you have a passport and can travel to the Philippines and back to your country, you can apply. However, the Wikimedia Foundation cannot help a potential attendee if they are restricted from traveling by their country or government.

If an affiliate nominates 3 people but only 2 were selected, can the affiliate pay to have the 3rd person attend anyway?

No. We want to limit the number of people attending the Summit and because expenses like food (lunch, dinner, etc.) are capped by the budget.
